Basic Archive Program – Baptismal Module

Sacramental records are crucial for documenting the spiritual journey of individuals and communities. Accurate and well-preserved records are a right of the Christian faithful, and those responsible for maintaining them must do so with great care.
Canon law mandates specific registers for baptisms, marriages, deaths, and other sacraments, and these records must be stored securely and maintained accurately.
Electronic reproductions are allowed, but the original hand-printed registers are the only authentic copies. Entries must be timely, accurate, and in chronological order. Certificates issued must be exact duplicates of the register entries and signed by the pastor. Changes to entries are strictly regulated, with minor changes allowed directly on the original entry and major changes requiring new entries.
Confidentiality is paramount, and sacramental registers should not be made available for genealogical research. Proper storage, security, and preservation of records are essential, and parishes should consult the Diocesan Archivist before any restoration work. The Diocesan Sacramental Records Handbook provides detailed guidelines and is available online.
